Capital Flight LLC is a U.S.-based aviation support services company specializing in operational management for FAA Part 135 charter operators. We provide charter quoting, trip coordination, logistics support, and day-to-day operational oversight. We are expanding internationally and establishing our first global operations hub in Bogotá, Colombia.

Role Overview

We are seeking a highly skilled, detail-oriented Executive Assistant to support a U.S.-based executive operating in Central Time. This is a high-trust, high-availability role for someone who can anticipate needs, manage competing priorities, and operate as a seamless extension of the executive across business, operational, and administrative domains.

This role is ideal for someone ambitious, highly educated, tech-savvy, and excited to grow alongside a fast-moving aviation services company.

Key Responsibilities

  • Manage and protect the executive's calendar, scheduling, and daily priorities, adjusting in real time as needs shift.
  • Coordinate travel, logistics, and itineraries: flights, hotels, ground transportation, and meeting arrangements.
  • Serve as a key point of contact between the executive, internal teams, and external partners.
  • Monitor and triage email, messages, and follow-ups, ensuring nothing falls through the cracks.
  • Prepare, organize, and format documents, reports, and presentations.
  • Track action items, deadlines, and commitments across multiple projects.
  • Handle confidential information with discretion and professionalism.
  • Anticipate needs and resolve issues proactively, with urgency and sound judgment.

Availability Requirements

  • Must align to Central Time (U.S.) hours.
  • Availability required on nights and weekends as the executive's schedule demands.
  • Possible travel required.
  • Ability to respond quickly and flexibly in a fast-paced environment.

Required Qualifications

  • Near-perfect English (written and spoken). Mandatory.
  • Bachelor's degree required; Master's degree or additional certifications strongly preferred.
  • Prior executive support, operations, or administrative experience.
  • Exceptional communication skills, attention to detail, and organizational ability.
  • Tech-savvy and able to learn new systems and tools quickly.
  • Self-starter capable of working independently with minimal oversight.
  • High level of discretion, reliability, and professionalism.

Preferred Qualifications

  • Experience supporting senior executives or founders.
  • Background in aviation, logistics, customer service, or hospitality.
  • Strong analytical and problem-solving skills.
  • Proven ability to manage competing priorities under tight deadlines.
